Scope of this Privacy Policy

This Privacy Policy for ICAT Systems ("Company," "we," "us," or "our") explains what information about you we may collect and use when you access our website at www.icatsystems.com ("Site"), use the ICAT on-premise or hosted software, including ICAT Online ("Software"), engage in training or support services, contact us, or otherwise engage with us ("Services").

We remind you that if you visit a link outside of ICATSystems.com you are subject to the privacy policies of that site.

Collection and Use of Information

We may collect and use the following information:

1. Personally Identifiable Information

Personal information you disclose through the use of our Site, Software, and Services can include:

• Accounts. In order to set up an account, request a trial, take an online course, or complete a purchase on ICATSystems.com, we ask you to register and input a limited amount of personally identifiable information (including email address, name, organization, and contact information). We store this information you add as your account profile. When you register for ICAT Online, we collect account registration information, including full name, business email address, company name, job title, phone number, and billing address.
• Software Registration.In order to use the ICAT Desktop Software you will be required to activate your license and register the Software. When you do, we receive the name of your QuickBooks Company File. (See item 3 below for more on data use with the ICAT Software.)
• Forms. ICATSystems.com uses interactive forms that let you voluntarily submit personally identifiable information (such as your e-mail address, name, or organization) for purposes including, but not limited to: request for information; register to receive e-mail updates and newsletters; register for a webinar; or, send questions and comments to ICAT Systems.
• Communications. When you contact or engage with ICAT Systems (e.g. via email, phone, social media, events, through ICAT Online, or other means), we may keep a record of your communication, including contact information, to respond to or process your request, and to inform you of updates, products, and services. Such communications may include messages, support tickets, feedback, and other communications you send to us.

Information collected for payments

• Payments. You are not required to enter payment information until you decide to make a purchase. ICAT Systems uses third-party payment processors to manage payments, related analytics, and other business services. The personal data collected for this purpose may include transactional data and identifying information about devices that connect to its services. For example, we collect billing name and billing address. Any credit card number is handled via our payment processor. ICAT Systems does not transmit or store raw card numbers. The payment processor uses this information to process your payment, operate and improve the services it provides to us, including fraud detection, authentication, and analytics related to the performance of its services. Payment data processed by the third-party payment processor is governed by their privacy policy.

Some information we collect automatically may be linked to you and your activity on our Site and Services.

• Engagement Information. We track engagement with our offerings, such as attending or viewing a demo, or opening and clicking links in an email. We track usage of online training, including the time spent and files downloaded.
• Site Visit Information. If a URL or IP address contains information that identifies you and is considered personal information under applicable law, we will treat it as personal information.

How ICAT Systems uses this information

We use your personal information to help you utilize ICAT Systems’ Software, Services, and other offerings.

ICAT Systems may use the information you provide to communicate with you for business purposes. We may use information collected to tailor our communications with you.

ICAT Systems sends administrative and service-related emails (including registration confirmations, order confirmations, renewal and expiration notices, software updates) to registered users of the Site, Software, and/or Services. You may not opt-out of these service-related emails. You may contact us if you wish to change the user associated with your company account, or to have your account removed from service-related communications.

ICAT Systems also sends general email communications, including but not limited to marketing information on ICAT Systems’ products and services, customer service, feedback, or other informational purposes. You may opt-out or change your preferences for marketing and informational emails at any time through the list settings in the email footer or by emailing us at support@icatsystems.com.

2. Non-Personal Information

Information we collect through use of our Site, Online ICAT Software, and Services

Like most website operators, ICAT Systems automatically collects non-personally-identifying information of the sort that web browsers and servers typically make available. For information on how we collect this information see the "Cookies" section below. Technical information we collect may include:

• Date and time of access
• URL address of the ICATSystems.com webpage visited
• Internet domain and IP address from which our website was accessed
• Type of browser and operating system used to access our Site (if provided by the browser)
• URL address of the referring page (if provided by the browser)
• Link source and medium
• Completion or success status of the request for a web page or other online action
• Pages visited and timestamps of access
• Device type, device identifiers, and screen resolution
• Account preferences: notification settings, language preferences, and display configurations.
• ICAT Online Usage Data such as feature interaction patterns, report generation activity, numbers of users, QuickBooks sync frequency, API usage, and session duration.

Our Site utilizes Google Analytics to collect and analyze the above information. More information on Google Analytics is provided under "Cookies" below.

How ICAT Systems uses this information

ICAT Systems uses technical information collected through use of our Site, ICAT Online Software, and the Services to better understand how ICATSystems.com visitors use the Site, to compile reports on website activity, traffic, and engagement, to improve our Site, Software, and Services, and provide the best possible user experience.

3. Data Collection for ICAT Desktop Software

ICAT Systems uses a product license key to authenticate the ICAT Software validity and to verify the use of the Software is in compliance with the Software License Agreement. When activating the license key, ICAT Systems receives a minimum necessary information to confirm compliance: IP address, Company File Name, and Activation Date. ICAT Systems does not receive any other accounting or finance data provided via the ICAT Software or third party services. ICAT Systems will only have access to your accounting system or ICAT Software data if you choose to share it, e.g. for the purpose of customer support. Any data shared for customer support will be used for the express purpose intended.

An ICAT Systems customer may engage ICAT Systems in a professional services arrangement. Under such an arrangement, the customer willingly provides access to accounting system data to be used for the express purposes intended.

4. Data Collection for ICAT Online Subscribers

When subscribing to ICAT Online we collect certain information to deliver the ICAT Online Software and Services.

• Customer Information: We collect customer and vendor information, contract information, employee name and payroll data to deliver the Software and Services. If we receive personal information in connection with services we provide to our employer or business customers (our "Customer"), we use and disclose such information only as necessary to provide Software and Services to the Customer in accordance with our Customer services agreement.
• QuickBooks Online Data: With your authorization, ICAT Online accesses financial and transactional data from your QuickBooks Online account ("QuickBooks Data") through the Intuit API. QuickBooks Data may include business financial records, transaction histories, customer and vendor information, payroll data, and chart of accounts information. QuickBooks Data is processed exclusively to deliver the contracted Service features to our Customer and is not used for any other purpose.
• Information We Do Not Collect. ICAT Online is not designed to collect and we do not knowingly collect:
  • Social Security numbers or government ID numbers;
  • payment card numbers in raw form (any processing is handled by PCI-DSS compliant payment processors);
  • Agreement is in place with Customer; or
  • personal information of children under the age of 18.

5. Data Collection and Use Purposes

In addition to the uses described above, we collect and use personal information for the following purposes:

Disclosure of Information

Except as otherwise provided in our Customer agreements, we may disclose aggregated information about our users, and information that does not identify an individual, without restriction.

We may also disclose personal information that we collect or that you provide as described in this privacy policy:

• To contractors, service providers, and other third parties we use to support our organization who are required to keep it confidential and use it for the purposes it is disclosed to them.
• To a buyer or other successor in the event of a merger, divestiture, restructuring, reorganization, dissolution, or other sale or transfer of some or all of ICAT System's assets, whether as a going concern or as part of bankruptcy, liquidation, or similar proceeding, in which personal data held by ICAT Systems is among the assets transferred.
• To process payment.
• To fulfill the purpose for which you provide it.
• For any other purpose disclosed by us when you provide the information.
• With your consent.

We may also disclose personal information:

• To comply with any court order, law, or legal process, including to respond to any government or regulatory request.
• To enforce or apply our terms of use and other agreements, including for billing and collection purposes.
• If we believe disclosure is necessary or appropriate to protect the rights, property, or safety of our organization, our customers, or others, including for purposes of fraud protection.

Cookies and Tracking Technologies

How we use cookies

ICAT Systems uses cookies when registered users log on to our Site. This helps us to authenticate and identify users while signed in to our Site, and enables you to more easily access and edit your account profile, complete an online purchase, and access your purchase history.

We use cookies to help identify new vs. returning visitors to the Site, and to compile aggregated, non-personally-identifiable data about Site usage. ICAT Systems may utilize third party services to enhance its distribution of data and information (e.g. videos) through links from our Site. A cookie may be set by such a third party provider when you click on the provider’s link in order to access the ICAT Systems data (e.g. play a video). This use of cookies is not linked to any personally identifiable information on our Site.

Users can control the use of cookies at the individual browser level. If you reject cookies, you may still use our Site, but your ability to use some features or areas of our Site may be limited.

Google Analytics

We also use Google Analytics, a web analytics service provided by Google LLC ("Google"), to understand how visitors find and use our Site. Google Analytics uses cookies and similar technology to collect information such as IP address, device and browser type, operating system, the pages you view, the time spent on those pages, how you reached our site (your traffic and user-acquisition source), and on-site events (such as page views, clicks, scrolling, items viewed, items added to or removed from the cart, and checkout steps). We do not use Google Analytics to serve advertising to you, and we have not enabled Google Analytics Advertising Features, Google Signals, or Google Ads on our website. ICAT Systems employs security measures designed to protect against unauthorized access to or unauthorized alteration, disclosure, or destruction of personal data. However, no website, mobile application, system, electronic storage, or online service is completely secure, and we cannot guarantee the security of your personal data transmitted to, through, using, or in connection with the Site, Software, or Services. Any transmission of personal data is at your own risk.

Data Retention

We retain personal information for as long as necessary to fulfill the purposes described in this Privacy Policy, comply with legal obligations, resolve disputes, and enforce our agreements.

Children's Privacy

We care about the safety and privacy of children online. ICATSystems.com does not knowingly contact or collect personal information from children under 18. ICATSystems.com is not intended to solicit information of any kind from children under 18.

Links to Other Sites

ICATSystems.com contains links to websites of other organizations. When you follow a link to another site, you leave the ICATSystems.com Site and your website interactions are no longer protected by our Privacy Policy. ICATSystems.com is not responsible for, and does not endorse, the privacy or security practices and content of sites to which ICATSystems.com links.

Your Privacy Rights and Choices

Personal Information Rights:
Depending of your state of residence, you may have certain rights with respect to your personal information. You may have a right to:

• Request confirmation of whether we hold personal information about you;
• Request correction of inaccurate personal information; and,
• Request deletion of your personal information (subject to legal retention obligations).

To exercise your rights, submit your request to privacy@icatsystems.com. We may contact you to verify your request. We will respond to requests when required by law and within the timeframe established by applicable law. We will not charge a fee for reasonable requests.

Nevada Residents:
Under Nevada law, Nevada residents may submit a request directing Us not to make certain disclosures of personal information we maintain about them. If you are a Nevada resident and wish to exercise this right, you may contact us by email at privacy@icatsystems.com.

Marketing Opt-Out:
You may opt out of marketing communications from us at any time via the unsubscribe link in emails or by emailing privacy@icatsystems.com. We will process your request within a reasonable timeframe after it is received. Please allow us time to process your request.

Social Media

ICAT Systems uses some social media tools and websites to interact with its customers, partners and the public. ICAT Systems’ Privacy Policy and other terms do not apply to these third-party sites. Any information you share via social media is governed by the policies and practices of the social media provider. We encourage you to read the policies of the third-party site when deciding whether to use it.

Changes and Updates

We periodically review and update this Privacy Policy. Any changes will be effective from the time the new Privacy Policy is posted, as indicated by the "Effective Date" listed above.

Your use of the Site or Services after changes to this Privacy Policy have been implemented constitutes your acknowledgement and acceptance of the new Privacy Policy. If you do not agree to the terms of the new Privacy Policy, you must no longer use the Site or Services.
